Who we are and what this covers
Core Residential LLC ("Core Residential," "we," "us") operates the CoreBuildr product suite, including CoreBuildr (project management), CoreTakeoff (material takeoffs), CoreRequest (service requests), CoreRealtor, and Core Warranty (collectively, the "Services").
This Privacy Policy describes how we collect, use, share, and retain information when you use our websites and signed-in applications. It applies to account holders, invited project participants, and visitors who interact with our Services or contact us.
Information we collect
We collect information you provide and information generated when you use the Services.
- Account and profile: name, email, phone number, role, capacity, organization or builder/realtor profile details, and authentication identifiers managed through Supabase Auth.
- Project and property data: job names, addresses, parcel or GIS identifiers, schedules, tasks, inspections, punch lists, RFIs, daily logs, meetings, warranties, and related metadata you enter.
- Files and communications: documents, plans, photos, videos, messages, comments, and email or SMS content sent through or stored in the Services.
- Financial data: invoice and estimate line items, payment status, and billing contact details. Payment card numbers are processed by Stripe; we do not store full card numbers on our servers.
- Location and maps: addresses you provide and map or parcel links we generate from them (for example Florida county parcel URLs). We do not continuously track device GPS unless a feature you use explicitly requests location and you allow it in your browser.
- Usage and diagnostics: IP address, browser type, device information, application logs, error reports, and optional platform trace events when troubleshooting is enabled.
- Preferences: notification settings (email, in-app, SMS where offered), marketing opt-ins when you choose them, and session cookies or local storage needed to keep you signed in.
How we use information
We use information to provide, secure, and support the Services; authenticate users; enforce role-based access; deliver transactional email and SMS; process subscriptions; run optional AI-assisted features; operate storage, backups, and archives according to plan settings; and respond to support requests.
We may use aggregated or de-identified data to understand product usage and improve features. We do not sell your personal information.
Artificial intelligence processing
When you use AI-assisted features (such as takeoff extraction from plans, inspection photo assist, or RFI draft assist), we send relevant uploaded files, extracted text, photos, and prompts to our AI subprocessors under our vendor agreements to generate drafts for you to review and edit.
AI output is not automatically treated as final project records until you save or apply it. We configure provider access for the Services; we do not represent here that any provider excludes all content from retention or review on their systems.
You are responsible for having permission to upload third-party plans, specifications, and photos before using AI features on them.
How we share information
We share information only as needed to operate the Services or as you direct:
- With users you invite to a builder, project, or organization according to roles and permissions you assign.
- Through tokenized public share links you create; anyone with the link may view the shared content without signing in until the link is rotated or expires per product rules.
- With service providers that host or process data on our behalf, including Supabase (database, authentication, file storage), Vercel (application hosting), Stripe (payments), Resend (email), Twilio (SMS when enabled), and OpenAI (optional AI features), subject to their terms and our instructions.
- When required by law, to protect rights and safety, or in connection with a merger, acquisition, or asset sale with notice where practicable.
Cookies and similar technologies
Signed-in applications rely on essential cookies and local storage for authentication sessions and preferences. Marketing websites may use additional tools; check the specific site you are visiting.
We have not deployed Google Analytics in the CoreBuildr application codebase reviewed for this policy version. If we add analytics later, we will update this page.
Retention, deletion, and backups
We retain information while your account or invited access is active and as needed to provide the Services.
Paid plans may describe archive time frames for stored files in billing features; scheduled jobs may move or remove archived content when configured.
When you delete content or close an account, we work to remove or anonymize data in primary systems, but residual copies may remain in backups for a period that is not fixed in this policy.
To request access, correction, or deletion, contact us at privacy@coreresidentialfl.com. We may retain certain records for billing, security, fraud prevention, or legal compliance.
Your choices
Update profile and notification preferences in the dashboard where available. Transactional messages about your account or projects may still be sent when necessary.
SMS notifications require separate opt-in on flows that offer SMS; marketing SMS is not enabled by default.
Public share links can be rotated from the share dialog to invalidate prior URLs.
Children
The Services are not directed to children under 13. We do not knowingly collect personal information from children under 13. Contact us if you believe we have collected such information.
Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised policy with a new "Last updated" date. For material changes, we intend to provide notice by email or in-app message when practicable, in addition to posting the updated policy.
